Interested in holding your Special Event at the Gardens?

Our beautiful Couvelier Pavilion provides a climate-controlled area to hold your event, replete with red cedar beams and unique Pacific Northwest architecture.

The Pavilion comes equipped with air conditioning, a commercial prep kitchen, a basic A/V system, and free wifi.

HCP will provide tables, chairs, and white linen tablecloths. Prior to your arrival, the room will be set according to your floor plan.

You and your guests will have access to the Pavilion and the Gardens for the full duration of your event.

Event bookings open every January for the following year - for instance, bookings for 2024 events open January 2023. Email to inquire about being put on a waitlist for future years.

No, you may hold a date free of charge. If you decide to go ahead with the date, we require a 50% booking deposit upon signing of the contract. This deposit is fully refundable for up to 30 days prior to the event date, which is when the remaining payment will be processed.

The Pavilion costs $150/hour. You can rent for as long as you like, depending on availability. Most people rent 4-5 hours (1 hour set-up, 2-3 hour event, 1 hour clean up).

Yes, 1 hour for your set-up and 1 hour for your clean up are required for all event rentals; this time is included in the rental fee.

Yes - non-wedding events are available to be booked between 9:00am-9:00pm

HCP has a max capacity of 100 total people.

Yes, our venue is totally wheelchair accessible. We have a wheelchair ramp from the parking lot to the Gardens, a ground level Pavilion with an accessible washroom, and sloping gravel paths connecting the Pavilion to the Gardens. For additional information please email .

Yes, the Pavilion has a commercial prep kitchen for you or your caterer's use.

No, HCP has no dishware or glassware. All dish equipment must be rented and brought on site by a third party.

No, all catering is done via third party. If desired, ask the Event Coordinator for a list of our recommended caterers.

You are more than welcome to hire a third party caterer as well as bring your own food on site. We just ask that you communicate the removal of garbage and refuse off-site.

Yes, if you apply for and receive a Special Event Permit (SEP) from the Province of BC (this can be completed by you or your caterer, if applicable). HCP must receive a copy of your SEP for you to serve alcohol on our premises.

Between the hours of 9:00am-4:00pm (HCP's open hours), alcohol consumption is limited to the Pavilion and the Pavilion's brick patio.

After 4:00pm you may consume alcohol in the Gardens, if this is included on the SEP, however no glass is permitted in the Gardens - please use plastic or compostable cups.

Yes! HCP does not have the capacity to handle garbage from events. All of your trash, recycling, and compost MUST be removed from the premises by the departure time - this includes any waste generated by catering and bartenders. We thank you for your understanding, and for helping us keep our Gardens lovely and pristine for all to enjoy. A charge of $50 will be levied for non-compliance.

No. All decorations must be set up and taken away the day of your event. For an additional $500, you may set up the day before your event, but this is subject to availability.

No. HCP is open to the public every day of the week from 9:00am-4:00pm. You will have exclusive access to the Pavilion and the Pavilion's brick patio.

Yes! Booking an event includes free access to the Gardens for all of your guests for the duration of your event. Garden Maps are available at the front office.

Pets are welcome on the grounds, provided that they are kept on leash and picked up after. Pets are not permitted in the Pavilion. Working service animals are allowed everywhere.

No, smoking and vaping are not permitted anywhere inside HCP's gates. You may smoke or vape in the parking lot.

During HCP's open hours, half of HCP's parking lot will be reserved for the event, with additional angle parking available along Quayle Road. Parking is limited, however, so we recommend carpooling or hiring a shuttle for large groups.

Of course. Safety is of the utmost importance - if it is unsafe for anyone to drive home, they may leave their car in HCP's parking lot overnight. Any cars left overnight must be picked up by 9:00am the next day.

Yes, we welcome live music! Speakers or amplifiers set up on the Pavilion's patio must be set up facing Viaduct Flats (away from HCP's residential neighbours).

Yes! Please keep the gates shut at all times to prevent deer from entering the property. Deer in the Gardens would be very bad news, and we thank you for your diligence in keeping the gates shut.

Yes, HCP's Event Coordinator will be onsite for the entire duration of your event, to supervise the event and provide whatever assistance you require.

Yes. You are responsible for adequately communicating HCP's policies to your guests, and you will be held liable for the actions of your guests, including but not limited to: damage to the Gardens, allowing deer on property by leaving the gates open, smoking inside the gates, etc. If requested, HCP will send an email write-up of our house rules and policies which can be forwarded to all those attending your event.
