Interested in holding your Special Event at the Gardens?
Our beautiful Couvelier Pavilion provides a climate-controlled area to hold your event, replete with red cedar beams and unique Pacific Northwest architecture.
The Pavilion comes equipped with air conditioning, a commercial prep kitchen, a basic A/V system, and free wifi.
HCP will provide tables, chairs, and white linen tablecloths. Prior to your arrival, the room will be set according to your floor plan.
You and your guests will have access to the Pavilion and the Gardens for the full duration of your event.

What days of the week can I hold my event?
Any day of the week, depending on availability.
How far ahead can I book my event?
Event bookings open every January for the following year - for instance, bookings for 2024 events open January 2023. Email
Do I need to pay a fee to reserve an event date?
We reserve dates for a period of one week and if not confirmed within that time frame, the reservation is released. If you decide to go ahead with the date, we require a 50% booking deposit upon signing of the contract. This deposit is fully refundable for up to 30 days prior to the event date, which is when the remaining payment will be processed.
How much will it cost to rent the Pavilion & how long can I rent for?
Please email events@hcp.ca for the rental fees. The minimum booking time required is 4 hours, comprising of 1 hour for setup, 2 to 3 hours for the event, and 1 hour for clean-up.
Do I have to pay for set-up and clean up time?
In order to ensure a smooth event, please allot one hour for set-up and one hour for clean-up for all event rentals. This time is included in the rental fee.
How many guests can I have?
HCP has a max capacity of 100 total people.
Is the venue wheelchair accessible?
Yes, our venue is totally wheelchair accessible. We have a wheelchair ramp from the parking lot to the Gardens, a ground level Pavilion with an accessible washroom, and sloping gravel paths connecting the Pavilion to the Gardens. For additional information please email events@hcp.ca
Does the Pavilion have air conditioning?
Certainly! The Pavilion is equipped with a complete air conditioning system.
Does the Pavilion have a kitchen?
Yes, The Pavilion offers access to a fully equipped commercial prep kitchen for catering purposes.
Does HCP have dishware I can use?
No, HCP has no dishware or glassware. All dish equipment must be rented and brought on site by a third party.
Does HCP provide catering or do I have to hire someone?
No, all catering is done via third party. If desired, ask the Event Coordinator for a list of our recommended caterers.
You are more than welcome to hire a third party caterer as well as bring your own food on site. We just ask that you communicate the removal of garbage and refuse off-site.
Can I serve alcohol at my event?
Yes, with a Special Event Permit (SEP) from the Province of BC (this can be completed by you or your caterer).
HCP must receive a copy of your SEP two weeks prior to your event in order for you to serve alcohol on our premises. Alcohol consumption is restricted to the Pavilion and the Pavilion's brick patio.
What does HCP provide in the Pavilion?
HCP can provide:
13 round tables (60” diameter)
13 rectangular tables (6'x2')
22 rectangular tables with adjustable height (4'x2')
Up to 100 chairs
White linen tablecloths
A/V equipment (projector, screen, HDMI cord, speakers, microphone)
Do I need to take all of my trash/recycling/compost off site by the departure time?
Yes! HCP does not have the capacity to handle garbage from events. All of your trash, recycling, and compost MUST be removed from the premises by the departure time - this includes any waste generated by catering and bartenders. We thank you for your understanding, and for helping us keep our Gardens lovely and pristine for all to enjoy.
A charge of $50 will be levied for non-compliance.
Can I set-up my decorations the day before/pick up my decorations the next day?
No. All decorations must be set up and taken away the day of your event. For an additional $500, you may set up the day before your event, but this is subject to availability.
Will I have exclusive access to the Gardens during my event?
No. HCP is open to the public every day of the week from 9:00am-4:00pm. You will have exclusive access to the Pavilion and the Pavilion's brick patio.
Can my guests enter and wander the Gardens without paying the admission fee?
Yes! Booking an event includes free access to the Gardens for all of your guests for the duration of your event. Garden Maps are available at the front office.
Can I bring my pets?
Pets are welcome on the grounds, provided that they are kept on leash and picked up after. Pets are not permitted in the Pavilion. Working service animals are allowed everywhere.
Can I smoke or vape in the Gardens?
No, smoking and vaping are not permitted anywhere inside HCP's gates. You may smoke or vape in the parking lot.
Where can I park?
During HCP's open hours, half of HCP's parking lot will be reserved for the event, with additional angle parking available along Quayle Road. Parking is limited, however, so we recommend carpooling or hiring a shuttle for large groups.
It is unsafe for me to drive home after the event - can I leave my car at HCP overnight?
Of course. Safety is of the utmost importance - if it is unsafe for anyone to drive home, they may leave their car in HCP's parking lot overnight. Any cars left overnight must be picked up by 9:00am the next day.
Can I have live music?
Yes, we welcome live music! Speakers or amplifiers set up on the Pavilion's patio must be set up facing Viaduct Flats (away from HCP's residential neighbours).
Will there be an on-site coordinator for the duration of my event?
Yes, HCP's Venue Coordinator will be onsite for the entire duration of your event, to supervise the event and provide whatever assistance you require.
What sorts of events does HCP hold most often?
We hold Celebrations of Life, Anniversary Parties, Family Gatherings, Baby Showers, Bridal Showers, Conferences, Client Events, Speaker Series, Religious Meetings, and more.
